At IU, in Mac OS X, how do I configure Entourage 2004 or 2008 to access my Exchange account?

Note: Office 2008 requires Mac OS X 10.4.9 or later. Office 2004 requires Mac OS X 10.2 or later. UITS does not recommend any version of Office older than 2004 or any version of Mac OS older than 10.4.11.

Note: Earlier versions of Entourage 2004 had a bug which could potentially cause loss of mailbox data. You should be running version 11.2.1 or later; see In Entourage for Mac OS X, how can I tell what version I am using?

Entourage 2004 and 2008 (included in the Office suites available from IUware), provide Outlook functionality in a Mac OS X-native application. When you have configured Entourage, you will be able to synchronize your Exchange calendar and address book as well as read and reply to email. To configure Entourage 2004 or 2008 to access your Exchange account at Indiana University:

  1. Open Entourage. You may see a window asking if you'd like to make Entourage your default email program. Click Make Default if you'd like to; otherwise click Cancel. If you have not created any previous accounts in Entourage, you will see the Entourage Setup Assistant. Close that window if you see it.

  2. From the Entourage menu, select Account Settings... . In the Accounts window, click the Exchange tab, and then click New.

  3. In the Account Setup Assistant window, click Configure account manually.

  4. In the Edit Account window, under the Account Settings tab, fill in the fields with the appropriate information:

    • Next to "Account name:", create a descriptive name (e.g., Exchange account ). This can be anything you like.
    • Next to "Name:", type your name as you would like it to appear in your outgoing email messages.
    • Next to "Email address:", type your IU email address.
    • Next to "Account ID:", type the username of the account you wish to log into. This will usually be your IU Network ID username.
    • Next to "Domain:", type ads.iu.edu .
    • Next to "Password:", type the password for the account you wish to log into. This will usually be your IU Network ID passphrase.
    • If you would like to have your passphrase stored in your Mac OS X Keychain, check Save password in my Mac OS keychain.
    • Next to "Exchange server:", type https://www.exchange.iu.edu . This will automatically check the box next to DAV service requires a secure connection (SSL).

  5. Click the Advanced tab, and in the field next to "Public folders server:", type https://www.exchange.iu.edu/public . This will automatically check the box next to DAV service requires a secure connection (SSL).

  6. The following directions are for setting the Directory Settings feature that allows address lookup in the Global Address List (GAL). This feature of Entourage has a known bug that can cause usability problems, noted below. If you find this problematic, you can skip the following steps and leave the "LDAP server:" field blank. However, you will have access only to addresses in your Address Book, not the GAL.

    1. In the Advanced settings, under Directory Settings, in the field next to "LDAP server:", type the appropriate address for your campus:

      • At IUB, type one of the following: iu-mssg-adsdc04.ads.iu.edu iu-mssg-adsdc05.ads.iu.edu iu-mssg-adsdc06.ads.iu.edu iu-mssg-adsdc08.ads.iu.edu
      • At IUPUI, type one of the following: iu-mssg-adsdc01.ads.iu.edu iu-mssg-adsdc02.ads.iu.edu iu-mssg-adsdc03.ads.iu.edu iu-mssg-adsdc07.ads.iu.edu
    2. Check the boxes next to:

      • This server requires me to logon
      • This LDAP server requires a secure connection (SSL)

      Override default LDAP port should be unchecked.

    3. Set "Maximum number of results to return:" to 100.

      Note: The default setting of 1000 will allow for address lookups but Entourage will stop responding, or hang, for 3-5 minutes. This issue will occur every time Entourage needs to access or re-access the directory (e.g., when you launch Entourage, or after a laptop running Entourage has gone into sleep mode); changing this setting to 100 avoids this particular issue. However, Entourage will present an error message when it accesses the directory in this way. The error message reads in part; "The directory server cannot complete the search. Too many matches were found". An error number of -17796 will be noted at the bottom of the error description.

    4. Leave the "Search base:" field blank

  7. You may wish to change other settings under the other tabs in Entourage as well. When you have finished making changes, click OK. Entourage will synchronize with your account on the Exchange server.

  8. From the Entourage menu, select Preferences... .

  9. On the left side of the Preferences window, select Calendar. On the right side of the window, from the pull-down menu next to "Default time zone for new events:", make sure that the time zone is set correctly. The correct time zone for most Indiana residents is Eastern Time (US & Canada). When you have finished setting any other preferences you wish to adjust, click OK.

Note: These initial synchronization steps may take several minutes, depending on how many folders, contacts, appointments, tasks, and messages you have stored in your account.

If you were using a previous version of Entourage on your computer, you can import your old settings. Office 2008 will import Office 2004 settings automatically when you install it. For Office 2004, do not do this if you were using the previous version to access only your Exchange account. If you were accessing other accounts or had data saved locally to your computer, however, you should import your old settings, as follows:

  1. From the File menu, select Import... .

  2. Click the button next to Import information from a program, and then click the right-facing blue arrow.

  3. Click the name of the program you would like to import from (e.g., Microsoft Entourage X or Microsoft Entourage 2001), and then click the right-facing blue arrow.

  4. On the next page, uncheck any items you do not want to import, and then click the right-facing blue arrow.

  5. If you have more than one Identity, select the one you want to import, and then click the right-facing blue arrow.

  6. Click the Finish button when Entourage has finished importing your data.

Note: If you import data from a previous version of Entourage and already had it set up to access your Exchange account, Entourage may have redundant listings of your mail. You can delete these extra listings from the Accounts window.
